Information we may collect from you

Information that you input by filling in forms, during the registration process or when making a purchase, including:

  • Profile pictures, names of resorts that Instructors offer their services in and calendar availability.

Our legal basis for processing your information

Our legal basis for collecting and using your personal information will depend on the personal information collected and the specific context in which we collect it. We normally will collect personal information from you in the following circumstance:

  • We have your consent to do so,

  • Where we need your personal information to perform a contract with you (e.g. to deliver the Maison Sport services you have requested), or

  • Where the processing is in our legitimate interests, in most cases, if you do not provide the requested information, Maison Sport will not be able to provide the requested service to you.

In some cases, we may also have a legal obligation to collect personal information from you. Where we rely on your consent to process your personal information, you have the right to withdraw or decline consent at any time. Where we rely on our legitimate interests to process your personal data, you have the right to object.

How we use the information we collect

Use of artificial intelligence

We use third-party artificial intelligence (AI) services provided by Anthropic, PBC (“Anthropic”), the provider of the Claude family of AI models, to help us operate and improve the Website. Anthropic acts as a processor on our behalf and only processes information in accordance with our instructions and under a data processing agreement.

We use these AI services in the following ways:

  • Instructor profile assessment. We use AI to help assess Instructor profiles – for example, to review the quality and appropriateness of profile photographs and to check whether an Instructor has completed all sections of their profile. The purpose is to maintain quality standards and provide a better experience for customers. AI is used only to assist this process: the findings are reviewed and verified by a member of our team, and no decision producing legal or similarly significant effects is taken solely by automated means.

  • Data analysis and service improvement. We use AI to analyse data – including a combination of first-party data and Google Analytics data – to better understand user behaviour and improve our services. The data used for this analysis is anonymised so that it does not identify you.

Where this processing involves your personal data, we rely on our legitimate interests in maintaining the quality and safety of the Website and improving our services. You have the right to object to this processing and to request human intervention in, or to contest, any assessment relating to you, using the contact details at the end of this policy. Anthropic’s processing may involve the transfer of information to the United States; see “Storage of your information” below for how we safeguard such transfers.

Referral program

We may, from time to time, run referral programs or similar initiatives, such as a “Tell a Friend” program, that invite you to provide us with the contact details of someone who is known to you who may find our Website to be of interest. We will only use those contact details for the purpose of the relevant initiative (and not for general marketing purposes). By providing us with their details, you confirm that you have their permission to do so and must not provide us with the details of anyone from whom you do not have such permission. We reserve the right to identify you as the person who has made the referral in the message that is sent to them.

Payment processing

Payment details you provide will be encrypted using secure sockets layer (SSL) technology before they are submitted over the internet. Payments made on the Website are made through our payment gateway provider, Stripe. Instructors are also required to supply Bank Account details, to enable us to pay them, we share this information with Wise and Revolut to facilitate the payment transfers. You can tell us not to contact you with information regarding our products and services by following the unsubscribe instructions on any communications sent to you. Alternatively, you can also exercise the right at any time by contacting us using the details at the end of this privacy policy.

Information sharing

We may disclose aggregate statistics about visitors to the Website, customers and sales in order to describe our services to prospective partners, advertisers, sponsors and other reputable third parties and for other lawful purposes, but these statistics will include no personally identifiable information.

We may disclose your personal information to any of our affiliates, or to our agents or contractors who assist us in providing the services we offer through the Website, processing transactions, fulfilling requests for information, receiving and sending communications, updating marketing lists, analysing data (including our AI service provider, Anthropic), providing support services or in other tasks, from time to time. Our agents and contractors will only use your information to the extent necessary to perform their functions.

In the event that we undergo re-organisation or are sold to a third party, you agree that any personal information we hold about you may be transferred to that re-organised entity or third party. We may also share any personal information we hold about you amongst our group companies.

You should be aware that if we are requested by the police or any other regulatory or government authority investigating suspected illegal activities to provide your personal information and/or user information, we are entitled do so. We may also disclose your personal information if we believe that such action is necessary to prevent fraud or cyber crime or to protect the Website or the rights, property or personal safety of any person.

Security

We place great importance on the security of all personally identifiable information associated with our users. We have security measures in place to attempt to protect against the loss, misuse and alteration of personal information under our control. For example, our security and privacy policies are periodically reviewed and enhanced as necessary and only authorised personnel have access to personal information. Whilst we cannot ensure or guarantee that loss, misuse or alteration of information will never occur, we use all reasonable efforts to prevent it.

You should bear in mind that submission of information over the internet is never entirely secure. Where sensitive financial information is provided to us, we use encryption software to attempt to prevent unauthorised access to this information being obtained. Other than as set out above, we do not have access to or store any confidential information about the means of payment; only Stripe, our payment services provider, has access to this information, and it cannot be accessed by any other third party.

We cannot guarantee the security of information you submit via the Website whilst it is in transit over the internet and any such submission is at your own risk.

It is advisable to close your browser when you have finished your user session to help ensure others do not access your personal information if you use a shared computer or a computer in a public place.

Storage of your information

Information that you submit via the Website is sent to and stored on secure servers. This is necessary in order to process the information. Information submitted by you may be transferred by us to our other offices and/or to the third parties mentioned in the circumstances described above (see Information sharing), which may be situated outside the United Kingdom and the European Economic Area (EEA) and may be processed by staff operating outside the UK and EEA. The countries concerned may not have similar data protection laws to the UK and EEA. Where we transfer your information outside the UK or EEA, including to the United States in connection with our AI service provider, we will take all reasonable steps to ensure that it is treated securely and in accordance with this privacy policy and applicable data protection law, including by relying on appropriate safeguards such as the International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an applicable adequacy decision. By submitting information via the Website, you agree to this storing, processing and/or transfer.

Data retention

We retain your personal information for as long as your account remains active, so that we can provide our services to you. If you close or delete your account, we will delete the personal information we hold about you, except where we are required to retain certain information to comply with a legal obligation, resolve disputes, prevent fraud, or enforce our agreements, in which case we will retain only the information necessary for those purposes and for no longer than necessary.
